Job Objectives of the Secretariat Internship
As an intern, you will play a key role in providing effective administrative and secretariat support across various levels of the organization. Your day-to-day responsibilities will include:
- General Office Administration: Organizing and coordinating office operations, ensuring everything runs smoothly and efficiently.
- Meeting Preparation: Preparing meeting notices, agendas, and packs for upcoming sessions, ensuring all participants are well-prepared.
- Minute-Taking: Attending meetings, taking detailed minutes, and accurately recording key discussions and decisions made.
- Document Management: Ensuring timely delivery and distribution of meeting documentation, and maintaining organized records.
- Logistics Coordination: Booking meeting venues, coordinating catering, and assisting with travel arrangements for participants.
- Record-Keeping: Maintaining proper records of Council/EXCO documents, ensuring easy access and secure storage of minutes and other statutory registers.
- Support with Payroll: Coordinating and facilitating the completion of councillors’ payroll documents.
- Platform Management: Updating and uploading information on the Diligent Boards platform, ensuring that the platform remains up-to-date and organized.
- Ad-Hoc Tasks: Handling various administrative tasks as required by the Council and management.
Essential Requirements
To be eligible for this internship, candidates must meet the following essential criteria:
- Educational Background: A relevant qualification in Management, Public Administration, Law, Corporate Governance, or a related field with a focus on secretariat functions.
- Technical Skills: Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) is required.
- Attention to Detail: A strong eye for detail to ensure accurate documentation and record-keeping.
- Communication Skills: Ability to follow instructions carefully and communicate effectively both in writing and orally.
- Team Player: Ability to work independently as well as part of a team.
